Troop 1 Parents Meeting

1) Meeting called to order by Jon Beyer

3) Previous meeting minutes – approved

4) Reports:

·         Scoutmaster – a small group of adult leaders met 3 weeks ago to discuss organizational changes in youth leadership in the troop and expectations of Scouts the troop sends to Eagle Claw.  The changes can be viewed in the section titled “Youth Leadership” following these minutes.  These changes are intended to provide a wide variety of leadership experiences and opportunities for all Scouts in the troop.

·         Secretary – no report

·         Treasurer - Total $9,296.50 (general fund $2,878.17, Scoutmaster Fund $655.10, Shed Account $1,285.64, Scout Accounts $4,477.59).

·         Outdoor/activities coordinator

·         District Swim program, update – 8 Scouts earned their Lifesaving merit badge, 5 have nearly completed BSA Life Guarding, and a number of other Scouts earned their Swimming merit badge.  A very worthwhile program for any Scout looking to upgrade their swimming skills.

·         Easter Week Activities, lots of opportunities for Scouts to earn service hours:

o       March 19 (Wed) - Fill Easter eggs with candy, 7:00 PM KC Hall, 7-10 Scouts needed, & adults welcome.

o       March 22 - set up church basement for Easter mass, 9:00 AM.  All Scouts & adults needed.

o       March 22 - KC Easter egg hunt, 10:00 AM at KC Hall.  Need 6-8 Scouts (one 5'10" to play the Easter Bunny), and 3-5 adults.

o       March 22 - Easter Vigil fire at St. Ed's, meet at 7:00 PM before the 8:00 PM service.  7-8 Scouts and 3-5 adults needed.

o       March 23 - reset chairs and tables in the church basement at 6:30 PM.  All Scouts and adults needed.

·         Youth leader training and electronics/work weekend campout, Camp Ingawanis, March 29-30.  Troop will leave from the scout garage immediately after the pop can collection is completed (approximately noon or shortly thereafter).  Adults cook at this campout.

·         OA Spring Fellowship, Camp Ingawanis, April 18-20: Opportunity for Ordeal members to earn Brotherhood status  and for all OA members to provide cheerful service.

·         Sun Rivers Spring Camporee, April 25-27, Antique Acres.  Unique setting for a district camporee, should be lots of fun.

·         Summer camp, June 29-July 5, update – campsite has been reserved, need to begin recruiting Scouts in the troop, followed by merit badge selection.  Camp Phillips has a number of high adventure activities for older Scouts to provide a unique summer camp experience.  There is a link to the Camp C.E. ·         Advancement coordinator

·         Josh Kneeland Eagle Scout Court of Honor, March 9 – nice ceremony to honor a Troop 1 Eagle Scout.

·         Advancement activities – since the last Parents Meeting, 8 rank advancements (2 Star, 6 Scout) and 8 merit badges were earned.

·         Order of the Arrow elections – elections were held, and letters will be sent to the Scouts that were elected.

·         Chaplain – Jim has some ceremonies for campouts ands other occasions, and will work with the new Chaplain’s Aide to incorporate them in our activities.

·         Training coordinator

·         Youth leader training, Camp Ingawanis, March 29-30 – this training is mandatory for troop leadership positions from Patrol Leader to Senior Patrol Leader.  More information previously described in Outdoor Activities.

·         Equipment coordinator

·         New troop equipment needed – the troop will purchase new coolers, water coolers, and plastic storage containers

·         Storage shed – Signage, appreciation cookout, update – the sign is ready, need to pick on open house date

·         Fundraising coordinator

·         Flapjackers pancake breakfast, Mar 8, report – good turnout at the breakfast, ticket sales for the event were down overall, Troop 1’s increased from 135 last year to 204 this year.  $1.10 will be returned for every ticket sold, and will be split 70/30 between the Scouts and the troop.  This is a high profit potential fundraiser, and the troop will look to set up sales tables at HyVee and other local businesses to increase our sales next year.  Next year is tentatively scheduled for March 7, 2009.  Thank you Greg for pulling this together for the troop.

·         Pop can collection fundraiser, next collection March 29

·         Knights of Columbus pancake breakfast fundraiser, Apr 20, update – This is our major fundraiser to pay for transportation expenses to summer camp.  The troop will serve breakfast from 8:00 AM to noon, workers will be needed in two shifts from 7:00 to 10:30 and 10:00 to close (approx. 12:30).

·         My Waterloo Days beverage pour, update – Only odd shifts were available, and the troop decided not to participate this year.  However, we are still planning for Sturgis Falls.

·         UNI Dome concessions – no report

·         Membership coordinator

·         Jim will contact some of the inactive Scouts to determine their ongoing status with the troop.

·         Round Table Update – no report

5) Old Business

·         Troop rechartering update – the troop will collect OA dues during this time (payable by OA member, not troop).

·         Adult leadership at troop campouts and activities (all)

·         Eagle Claw update – Al will determine interest of Scouts eligible for troop match.  Troop may fund 4-6 Scouts this year.

·         High adventure activities, update on Sea Base 2009 – Initial $100/participant fee should be paid by now.  At this point, 2 Scouts and 2 adults have changed their minds.  Alternates are being determined.

·         High adventure activities, update on Philmont 2009 – of the original 8 scouts and 4 adults on the crew, 4 Scouts and 3 adults have changed their minds, and several more Scouts are undecided.  This will likely be a council crew made up of participants throughout the council.

·         National Jamboree, July 2010 – openings are still available, Scouts only need to be First Class and under 18 by July 2010.

6) New Business

7) Announcements

·         Sun Rivers Recognition Dinner, UAW Hall, March 28 – the troop has several Eagle Scouts that will be recognized by the district for their accomplishments.  6:00 social hour, 7:00 dinner followed by program.  $13 per person, purchase tickets at the scout office.

·         Next parents meeting Monday, April 14, 2008 at AJ’s Eatery & Spirits (by Target), meeting starts at 7:30 PM.  Note the later starting time.

Youth Leadership

 

  1. Troop Leadership

·         SPL – 1 yr term elections held in February from youth that have held the ASPL position, have been through Eagle Claw, and have the Scoutmasters approval.

·         ASPL – 2 positions elected in February and August also needs the Scoutmasters approval.

·         Quartermaster – Appointed by SM & SPL

·         Scribe – Appointed by SM & SPL

·         Troop Guide – Appointed by SM & SPL

·         Instructor – Appointed by SM & SPL

·         Junior Asst Scoutmaster – Appointed by SM

 

  1. Patrol Options – 4 patrols

·         New Scout Patrol – Election for Patrol Leader held every 3 Mo.  Feb, May, August, Nov.

·         Other three Patrols – Reshuffled in Feb. – Elections for Patrol Leader held every 4 mo. – Feb, June, October

·         Patrol Positions

a.       Patrol Leader - PL

b.      Assistant Patrol Leader – APL (does not meet advancement leadership requirements)

c.       Patrol Quartermaster – PQM (does not meet advancement leadership requirements)

d.      Patrol Scribe – PSC  (does not meet advancement leadership requirements)

 

  1. Troop Leadership Training

·         Mandatory – all who are elected must commit to the training date or be replaced.

·         Francis McElroy will develop and the program and do the training with the help of Eagle Claw trained youth and Wood Badge trained adults.

·         Training to be held twice yearly.

·         Date for training is Mar. 29

·         Tentative location – Robin Hood & Valley Forge

 

  1. Eagle Claw Training

·         Thirteen by the time Eagle Claw starts.

·         Troop will pay half of youth’s attendance fees if invited to attend by Scoutmaster.  Youth may attend without invitation, but Troop will not pay half of the fees.

 

  1. Adult Leader Assignments (tentative on adults acceptance of position)

·         Works with patrol on activities and assignments (makes sure they are ready and completed)
